Controlled Record Release

LegalTech · Records / Controlled Release and Audit

Sensitive records discovered, requested and released under control, with a full audit log

A transcript business connects attorneys with agencies that hold transcripts. Datics built the platform: agencies onboard their archives with AI extraction of metadata, attorneys discover records without seeing their content, and every request moves through review, pricing, payment and controlled release with a unique ID and a full audit trail.

Simplified view of what Datics built

The starting point

Agencies held transcript archives that attorneys could not search without the content being exposed.

What had to change

Discovery, request, approval, payment and release had to work as one controlled workflow.

What couldn't break

Attorneys need enough metadata to judge relevance, while agencies keep control of the record until it is paid for and released.

Why this was hard

Three roles act on the same record at different stages, with different permissions, and archives arrive in inconsistent formats.

What Datics changed

Datics built archive onboarding with OCR and configurable extraction rules with field-level confidence; metadata-first search; request IDs and lifecycle tracking; agency review, approval and pricing; Stripe payment, fulfillment and delivery; an attorney transcript library; and admin monitoring, analytics, security and access control.

Phase 1 shipped the core workflow in about four weeks to a staging demo and acceptance; phase 2 adds search, dashboards and notifications.

Archive extraction

OCR and extraction rules pull metadata from agency archives, with field-level confidence.

Metadata-first discovery

Relevance judged without exposing the record.

Request lifecycle

Unique IDs, review, approval and pricing for every request.

Controlled release and audit

Payment, release and every action logged.
