Adaptive Intake Platform

Healthcare SaaS · Adaptive Intake / Multi-Tenant SaaS

Adaptive intake taken from a one-site prototype to a multi-tenant product

A physician built an AI intake tool for practices in orthopaedics, pain management and physical medicine: patients answer adaptive questions, and the provider gets a structured summary. Datics built the first version, then turned it into a multi-tenant product practices can sign up for, configure and pay for themselves.

Simplified view of what Datics built

The starting point

The first version ran adaptive intake for a single practice, with yes/no, condition-list and voice answers, and produced a structured summary without storing patient identifiers.

What had to change

Patients spent a long time on paper intake, and the prototype could not be offered to other practices: it had no tenancy, roles, onboarding or billing.

What couldn't break

The intake had to stay clinically useful while the product added tenant isolation, role-based access and careful handling of personal information.

Why this was hard

Turning one AI workflow into SaaS adds a whole product layer at once: tenancy, roles, template configuration, self-service onboarding, billing and security.

What Datics changed

Datics built the adaptive intake and summaries, then the multi-tenant layer: practice self-registration with per-provider billing, a template editor with schema validation, versioning and live preview, a physician dashboard with archive, search and export, and isolation between practices.

Version one was built by a single engineer to prove the intake. The multi-clinic version followed in planned sprints with a larger team.

Adaptive intake

Follow-up questions that branch on each answer, by tap or voice.

Structured summaries

Each conversation turned into a structured record for the provider.

Template editor

Practices build their own intake, validated, versioned and previewed live.

Self-serve SaaS

Sign-up, per-provider billing and isolation between practices.

How it works

Connects to: Stripe billing and Azure OpenAI.

  1. 1

    Intake

Where patients complete the adaptive conversation.

  2. 2

    Templates

Where each practice designs and versions its intake.

  3. 3

    Provider Dashboard

Where summaries are reviewed, searched and exported.

Runs within: Tenant-isolated SaaS with super admin, practice admin and provider roles.

Engagement at a glance

The adaptive intake now runs as a product other practices can adopt on their own, with the isolation, access control and billing a healthcare SaaS needs.
