Review-and-Approve Documentation

Dental Clinical Software · Human-in-the-Loop AI / Approval Gate

AI drafts, the professional approves: nothing is released until a person signs off

Dentists were writing up notes by hand after every appointment. Datics built the pipeline that records the appointment, transcribes it live, pulls the patient's history, drafts structured notes with suggested codes, and releases nothing until the dentist reviews, edits and approves it.

Human-in-the-Loop AI / Approval Gate

Draft

Where notes and codes are drafted from conversation and history.

  • Live capture and transcription
  • History in context
  • Structured drafts with codes
  • Approval gate

Dentist approval required before any note is released.

Simplified view of what Datics built

The starting point

Dentists turned conversation and memory into structured notes after each appointment, and notes varied in structure and missed codes.

What had to change

Documentation needed to be drafted during the appointment, consistently, rather than reconstructed afterwards.

What couldn't break

AI-generated material could never bypass the dentist. The professional stays the approval authority for every note.

Why this was hard

Good clinical notes need clean audio, accurate transcription, the right patient history, a domain-specific structure and code mapping, and a human approval path, not just text generation.

What Datics changed

Datics built recording that starts with the appointment on a mobile device with noise reduction, live speech-to-text streamed to the backend, retrieval of history, allergies and prescriptions from the practice-management system, AI drafting of multi-section notes with differential diagnoses and code mapping, a review-and-approve interface with version history, and secure delivery of the final note to the patient.

Delivered on a time-and-materials basis alongside the client's team, with the review surface inside the dentist's workflow.

Live capture and transcription

Recording starts with the appointment and is transcribed as it happens.

History in context

History, allergies and prescriptions pulled into the draft.

Structured drafts with codes

Multi-section notes with suggested diagnoses and codes.

Approval gate

Nothing is released until the dentist reviews, edits and approves it.

How it works

Connects to: The practice-management system for patient history, and speech-to-text services.

  1. 1

    Capture

Where the appointment is recorded and transcribed.

  2. 2

    Draft

Where notes and codes are drafted from conversation and history.

  3. 3

    Review & Approve

Where the dentist edits and approves the final note.

Runs within: Dentist approval required before any note is released.

Engagement at a glance

Notes are drafted while the appointment happens and leave only after the dentist approves them.
